About the Role
Reporting to the Director, Inclusivity and Indigenous Initiatives, the Inclusivity and Indigenous Initiatives Support Lead provides administrative support and is responsible for the coordination of activities in the Inclusivity and Indigenous Initiatives portfolio. They will liaise with executive assistants, supporting alignment and communication across programs and services. In addition, they will maintain a broad view of all projects as CASA Mental Health expands its services provincially, providing mental health services to more kids and families across Alberta.

The Inclusivity and Indigenous Initiatives Support Lead will:
- Provide administrative support to Indigenous Services and Inclusion, Diversity, Equity and Accessibility (IDEA) leadership as needed, including scheduling and coordinating virtual and in-person meetings, procuring meeting rooms and audio-visual equipment, planning meals and refreshments, preparing agendas, and recording and distributing minutes.
- Prepare, distribute, and track completion of key program documents, ensuring timely and accurate information flow.
- Screen and manage internal and external communications with discretion, including confidential correspondence, emails, phone calls and requests, and provide appropriate triage and follow-up.
- Provide a bridge for smooth communication between executive, senior and clinical leadership and internal departments.
- Coordinate travel-related meetings, such as arranging complex and detailed travel plans, itineraries and agendas.
- Assist with scheduling and tracking of Inclusivity and Indigenous Initiatives project plans, timelines and key milestones to ensure timely completion of deliverables.
- Contribute to stakeholder engagement by facilitating communication, aligning expectations and ensuring updates are shared throughout the project lifecycle.
- Collaborate and provide support to other corporate care specialists.
- Complete administrative tasks related to program operations and improvements, manage the department shared drive, and format and proofread documents and presentations.
- Support event planning and coordination of professional development trainings, organization-wide activities and community initiatives.
- Provide administrative support to the Indigenous Services’ Wisdom Committee, making accommodations, procuring meeting rooms, planning meals and refreshments, and recording and distributing minutes.
- Participate in cultural and learning opportunities with the Indigenous Services team to increase cultural competence.
Qualifications and Experience
- Bachelor’s degree or diploma in business administration, medical office assistant, office management or a related field or equivalency.
- Eight to 10 years’ experience in supporting senior-level leadership or C-Suite executives.
- A minimum of two years related administrative experience in a medical office setting.
- Medical Transcriptionist Certification is considered an asset.
- Valid Class 5 driver’s license and access to a vehicle for travel between CASA sites as required.
- A satisfactory Criminal Records Check with Vulnerable Sector Search and Child Intervention Check. This would be the financial responsibility of the successful candidate.
