About the Role
The Physician Support Specialist provides specialized administrative and clinical-adjacent support to physicians within CASA Mental Health. They support clinical care delivery by coordinating physician schedules, maintaining accurate clinical documentation, completing standardized clinical administrative tasks, and ensuring physician workflows are supported efficiently and accurately.

Working closely with physicians, nurses, clinicians and administrative teams, the role requires strong attention to detail, knowledge of medical terminology, sound judgment and the ability to work independently within established procedures. Accuracy and confidentiality are critical, as errors may directly impact patient care and clinical decision-making.

The Physician Support Specialist will:
  • Provide dedicated administrative and clinical-adjacent support to assigned physicians and clinics, anticipating needs to support continuity of care.
  • Manage EMR workflows, including chart closures, document uploads, task routing, medical transcription and escalating process issues.
  • Maintain accurate clinical records and data logs in accordance with privacy legislation, CASA policies and physician workflows.
  • Compile, scan, upload, fax and distribute clinical documentation, including consultation and discharge materials.
  • Coordinate clinic and meeting schedules, session materials, room bookings and videoconferencing resources.
  • Schedule and manage in-person, virtual, and telephone appointments, including bookings, re-bookings and follow-ups.
  • Liaise and support communication between physicians, interdisciplinary teams, Executive Assistants and program teams.
  • Collect vital signs and assign nursing staff to initial physician consultations in accordance with protocols. Initiate internal and external referrals as directed and respond to/escalate crisis calls.
  • Prepare spreadsheets, tracking tools, and coordinate physician-related supplies, travel expenses and invoices.
  • Provide cross-coverage within Clinical Administration during absences or peak periods.
  • Participate in workflow improvement, documentation initiatives and additional duties that support effective clinical operations
Knowledge, Skills and Abilities
  • Strong knowledge of medical terminology.
  • Minimum typing speed of 50 wpm with 95 per cent accuracy.
  • Proficiency in Microsoft Word, Outlook and Excel.
  • High attention to detail, data accuracy and problem-solving skills.
  • Excellent verbal and written communication skills with a professional, respectful and compassionate approach.
  • Strong organizational and critical thinking skills with the ability to work independently.
  • Ability to prioritize tasks and manage competing priorities in a fast-paced clinical environment.
  • Experience working with children, youth and families, including those who have experienced trauma.
  • Experience working with LGBTQ2S+ identified populations.
  • Knowledge of Indigenous culture and spirituality.
Qualifications and Experience
  • Medical office assistant and/or business administration diploma, or equivalent experience.
  • Minimum of two years of administrative experience in a medical office setting.
  • Medical Transcriptionist Certification is an asset.
Conditions of Employment
  • A satisfactory Criminal Records Check with Vulnerable Sector Search and Child Intervention Check. This would be the financial responsibility of the successful candidate.
  • Ability to pass and maintain Therapeutic Crisis Intervention (TCI) certification (training provided by CASA) or Supporting Individuals through Valued Attachments (SIVA) training, as well as physical ability to perform all interventions.

  • Manual dexterity to use mouse, keyboard and computer.
  • Sitting and standing for extended periods of time.
  • Must be able and willing to lift and carry up to 10 pounds.
  • Travel between CASA sites.
